Questions people ask before requesting a machine

Everything below is about the request step itself — what we do with your details, what qualifies a site, and what happens next.

What happens after I submit the free vending machine request form?+

Your request lands with our install team the moment you submit it. We check the site details you gave us — headcount, opening days, access and floor level — against the machine types we have available in your state, then call or email you within one business day. If the site is straightforward, delivery is usually booked inside 5–10 business days.

Do I need to know exactly which machine I want before I request one?+

No. Pick the closest option — drinks, snacks, coffee, combination or food — and we will confirm the right model once we know your headcount and footprint. Most first-time sites end up with a combination machine because it covers both snacks and cold drinks in one footprint.

Is the request form a quote, a contract, or an obligation to proceed?+

None of the three. The form is a site check. There is no cost quoted because there is nothing to pay: delivery, installation, stock, servicing, repairs and the $20 million public liability cover are all carried by the operator. You can decline after the site visit with nothing owed.

What if my workplace is upstairs, has no lift, or has a tricky approach?+

Tell us in the access notes. Stair-climb trolleys, hi-ab crane lifts through a window opening, and long carries across soft landscaping are all installs we have done. Difficult access does not disqualify a site — it only changes how the machine gets in, and the cost of that still sits with us.

How many staff does a site need before it qualifies for a free machine?+

As a rule of thumb, about 30 regular people on site, or fewer if the site runs long hours, shift work or has public foot traffic. A 20-person warehouse running two shifts often outperforms a 50-person office that empties at 4pm, so tell us the hours as well as the headcount.

Can I request more than one machine for the same address?+

Yes. Multi-machine lineups are common in warehouses, gyms and larger offices — typically a snack unit beside a drinks unit, sometimes with a coffee machine in the breakout area. Note the quantity you want in the form and we will size the lineup on the site visit.

What information should I have ready before starting the form?+

Your site address and suburb, an approximate headcount, your opening days and hours, whether the machine will sit on the ground floor, and a contact number for the install crew. That is enough for us to make a decision without a second round of questions.

Who owns and maintains the machine once it is installed?+

The operator owns it. That means every breakdown, refill, price change, cashless-reader update and compliance obligation stays with us. You supply power and floor space; nothing appears on your balance sheet and nothing is invoiced to you.

The two questions, and why we only ask two

The form above asks what kind of workplace you are and roughly how many people are on site each day. That is genuinely all we need to know whether a free placement stacks up. Everything else — machine type, product mix, install date, access arrangements — is worked out afterwards by a person who knows the answers to those two things, because those are the variables that decide the outcome.

We ask for daily on-site people rather than headcount deliberately. Hybrid working has made payroll numbers a poor predictor of vending performance. A 120-person business at 40% attendance is a 48-person site, and sizing a machine for 120 would guarantee a slow, over-stocked unit that helps nobody.

What we do with your request

Requests are reviewed the same business day where possible. First we check the site against the coverage map — we install in every state and territory, including regional and remote sites, but remote placements are scheduled around route cycles rather than a metro seven-to-ten-day window. Then we check the volume threshold: around 30 daily on-site people supports a standalone drink or combination machine, and roughly 60 supports a snack machine plus a chilled drink bank.

Then we call you. That call is short and practical: where would the machine go, is there a power point within about two metres, is the path from the door or dock free of steps, and is the spot visible from where people already walk. If we need to see it, we do a site check — usually within a few days, and at no cost.

Install day and everything after it

Metro installs typically land seven to ten days after sign-off. Our crew delivers, positions, levels, powers and commissions the machine, tests the card reader, loads the first planogram and leaves the space clean. Where a building requires a certificate of currency, an induction or a booked loading dock, we arrange it — you do not need to become the project manager for your own free machine.

After that, the machine is monitored remotely. Telemetry tells us what has sold and what has faulted before anyone on your site has to report it. Restocks are scheduled from that data. A failed vend on a tap payment refunds automatically. At four weeks we review the actual sales mix and change the planogram, then review quarterly.

What it costs and what you commit to

The cost is nothing: $0 machine, $0 delivery, $0 installation, $0 restocking, $0 servicing, $0 insurance. There is no rental, no bond, no minimum term, no exit fee and no lock-in contract. The program is funded by the products sold from the machine, which is why we care so much about getting placement and product mix right.

Your only obligations are space, a standard power point, and reasonable access for restock visits. Public and product liability is carried by us to $20 million and a certificate of currency is available for your building manager or WHS file. If the arrangement stops suiting you at any point, we collect the machine free of charge.
